A VIP client, a brand-new lead, an existing customer, and a robocall are four completely different calls — but most small business phone systems treat them identically: whoever gets through first gets the same generic script. Here's how we built Alex to actually tell the difference.
Answering every call is the easy part. Answering it correctly — differently, depending on who's actually calling — is where most basic call-answering setups fall short. Your best client and a cold spam call ending up in the same queue, getting the same script, isn't actually solving the problem. It's just moving it. We built Alex's routing around four caller types, because in practice, that's what actually comes through the phone of a local service business.
Four caller types. Four different ways of handling them.
Certain numbers — key clients, referral partners, people you've told us matter — are recognised the moment they call. They're greeted like someone you already know, not run through a generic script, and can be routed straight through to you if that's how you want it handled.
A new number calling in gets asked the right intake questions for your business specifically — what the job is, where, when — and the details are logged straight into your CRM in a format that's actually ready to follow up on, not just a vague voicemail transcript.
When someone who's called before rings again, Alex recognises them from your records instead of treating every call like a stranger. That means no re-asking for details you already have, and a conversation that actually picks up where things left off.
This is the one most phone systems don't touch at all. Numbers that have called before and turned out to be robocalls, telemarketers, or unrelated sales pitches get recognised automatically — Alex still answers, but she's told to ask once what the call's about and wrap it up fast if it's junk, rather than wasting a full conversation on it. If a flagged number turns out to have a genuine reason to call, she drops the screening and helps normally. Every business keeps its own list, on top of a shared list everyone benefits from, and numbers can be added or removed at any time if something gets flagged that shouldn't have been.
Just as important as what she handles is what she's built not to do. Alex operates inside guardrails that keep her on-script for your business — she won't invent answers she doesn't have, quote prices she's not authorised to quote, or wander into advice that should come from you. If a call falls outside what she's set up to handle, it gets routed to you directly rather than guessed at.
Any basic auto-attendant can pick up a call. The difference is what happens in the next ten seconds — whether a VIP gets recognised, a new lead gets the right questions, a returning customer isn't treated like a stranger, and a robocall never wastes anyone's time at all. That's the actual job of a receptionist, and it's what we built Alex to do properly.

VIP and friends/family numbers are set up in advance by you. Anyone else calling is treated as a new lead until they've called before, at which point they're recognised as an existing customer from your records.
A number that's been flagged as spam, a robocall, or an unrelated sales call gets recognised the moment it calls again. Alex still answers, but asks once what the call's about and ends it quickly if it's junk — she won't book anything or share business details with a flagged number unless they give a clear, genuine reason to be calling. Numbers can be flagged automatically by Alex during a call, or added and removed manually, and it's not something you have to manage yourself day to day.
She's built with guardrails that stop her from guessing — anything outside what she's set up to handle for your business gets routed to you directly instead of answered incorrectly.
Yes — your VIP and friends/family list isn't fixed. It's set up with you initially and can be updated as your business and relationships change.
The same caller-recognition and routing logic applies across voice and chat, so a customer gets consistent treatment whichever way they get in touch.
